[HM:258276] 10 Excel Data Entry Tips for Extreme Productivity

Excel is an amazing tool with fascinating capabilities to analyze data (be it using formulas, charts or dashboards). The ease with which data can be entered and stored in Excel makes it a compelling choice.

In this blog post, I have listed 10 useful Excel Data Entry tips that will make you more efficient and save a lot of time.

#1 Use Excel Data Entry Form

Excel Data Entry form enables you to add records in an existing data set. It gives a pop-up form that can be filled by the user. It is especially convenient when the data set has many columns and would require you to scroll right and left again and again as you key in data points.

Data Form feature is not already available in Excel ribbon. We first need to make it available by adding it to the Quick Access toolbar.

  1. Go to Quick Access Toolbar, right-click and select Customize quick Access Toolbar

  2. In the Excel Options Dialogue box, Select All Commands and Go to Form. Select Form and press Add. This will add the Data Forms Icon to the Quick Access Toolbar.

Using Excel Data Entry Form

  1. Select any cell in the data range and click on the Data Form icon from the Quick Access Toolbar.
  2. In the Pop-up Data form, all the column titles are listed vertically. Fill the data to the adjacent text box for each heading.
  3. Once you have entered the data, press Enter
  4. Click on New to add new record

Using Excel Data Entry form, you can also navigate through the existing data (row by row), or find data by specifying the criteria (try this by clicking on the criteria button) 

#2 Quickly Enter Numbers with Fixed Decimal Numbers

If you are in a situation where you have to manually enter data in excel that also has a decimal part to it, this trick could be mighty useful. For example, suppose you have to enter marks for students in percentage with up to 2 decimal points. You can enable a feature where you just type the numbers without bothering about hitting the dot key every time. To enable this:

  1. Go To File –> Options
  2. In the Excel Options Dialogue box select Advanced
  3. In Advanced Options, check the option "Automatically Insert a decimal point"
  4. Specify the number of decimals you want (for example 2 in this case)

Now, whenever you enter any number, excel automatically places last 2 digits after the decimal. So 1 becomes .01, 10 becomes 0.1, 100 becomes 1, 2467 becomes 24.67 and so on..

Once you are done with data entry, simply switch it off by un-checking the same option.

#3 Automatically Add Ordinal to Numbers

Yes, you can use a combination of excel functions (such as VALUE, RIGHT, IF, OR) to add ordinals ('st' in 1st, 'nd' in 2nd, and so on..).

Here is the formula:

=A1&IF(OR(VALUE(RIGHT(A1,2))={11,12,13}),"th",IF(OR(VALUE(RIGHT(A1))={1,2,3}),CHOOSE(RIGHT(A1),"st","nd","rd"),"th"))
#4 Fill Down Using Control + D

This is a nifty Excel Data Entry trick. If you have to copy the above cell, just press Control + D. It copies the content as well as the formatting. If there is a formula in the above cell, the formula is copied (with adjusted references).

This works for more than one cell as well. So if you want to copy the entire row above, select the current row and press Control + D.

If you select more than one cell/cells, than the cell above selection is copied in all the cells.

#5 Quickly Enter Date/Time in Excel Cells

Do not remember the current date? Don't worry, just press Control + ; (semi-colon Key) and it will enter the current date in the cell.

Similarly, you can enter current time by using the shortcut Control + Shift + : (colon key)

Remember, these are absolute values, and won't change if the date or time changes. If you want to have dynamic date and time value that changes whenever you opne the workbook or when there is a re-calculaiton, use TODAY and NOW functions.

#6 Control + Enter to Fill Entire Selection with Content in Active Cell

When you select multiple cells in Excel, one of the cells with light shade (as compared with the remaining selected cells) is the active cell. If you enter something in the active cell when the selection is made and press Control + Enter, the value is inserted in all the selected cells.

This holds true for formulas as well. If you enter formula in active cell and press Control + Enter, all the cells will get that formulas (with adjusted references).

#7 Alt + Down Arrow to Get a List of All Unique Values in that column

This one can save some time that you might otherwise waste in typing. Suppose you are entering data in a column with activity status (To be Done, Completed). Instead of typing the status again and again, you just need to type it in a couple of cells, and then you can use the keyboard shortcut Alt + Down arrow. It gives you the list all the unique entries, and you can quickly select from the list.

If you want to select from pre-specified options, create a drop down list using data validation.

#8 Quickly Sift through Multiple Worksheet Tabs in a Workbook

This one saves tons of time. Simply use the keyboard shortcut Control + Page Up/Page Down to navigate through multiple worksheet tabs in a workbook.

#9 Enter Long Text by Using Abbreviations

If you have to enter long names or keywords again and again in your worksheet, this trick would come in handy.

For example, you may want that whenever you type ABC, Excel should automatically replace it with ABC Technology Corporation Limited. Something as shown below:

#10 Enter Data in Non-Contiguous Ranges

Suppose you have a template as shown below, and you have to enter data in all the cells highlighted in red, in the order specified by the arrows.

Here is a quick way to do this:

  • Select all the cells where you need to enter the data (press control and then select one by one).
    • Start with the second cell in your sequence of data entry (start with D3). Select the first cell B3 (where data entry begins) at last.
  • Once selected, go to Name Box (which is on the left of the formula bar).
  • Type any name without spaces.
  • That's It!! Select the Named Range by clicking the Name Box drop down. Now start entering your data and use Enter/Tab to jump to the next cell.

SPIN Selling by Neil Rackman is a hugely influential book that argues the importance of asking the right questions in the sales conversation.

10 Second Summary

Customers will only be motivated to buy something if they identify there's a need. And because there are times when prospects are not even aware there's a problem, the questions you ask are key. This book describes a powerful sales process that reveals four types of questions that when asked in sequence, will significantly increase the likelihood of a lead translating into a sale.

Key Reason You Should Read SPIN Selling

Lots of businesses struggle to close enough deals because their selling strategy and sales techniques are not customer-centric. Instead of understanding the buyer, and presenting a solution from a buyer's perspective, too much emphasis is placed on the features and detail of the product/service that's being sold and the credentials of the business itself.

Rapid Fire Overview of Key Sales Lessons Discussed

SPIN Selling is an acronym of four different types of sales questions that can take a disinterested prospect to someone who's motivated to buy. These questions are:

  1. SITUATION questions
  2. PROBLEM questions
  3. IMPLICATION questions

#1: Situation Questions

Situation questions form the starting point for your conversation.

By asking situation type questions, sales reps can develop an understanding of context. In turn, this background information can be used to guide the conversation in an appropriate way.

The key to succeeding with situation questions is to do research IN ADVANCE of the conversation, so you can avoid boring prospects with questions where the answers are common knowledge.

Examples:

#2: Problem Questions

Make problem questions one of your sales techniques

If you can get a customer to acknowledge there's a problem that needs to be fixed, they're far more likely to give you the attention you need to close a deal.

Problem questions achieve just that, by probing to discover what's causing your prospect pain.

In addition, problem questions are highly effective at encouraging a prospect to identify an issue that's been overlooked.

Examples:

#3: Implication Questions

The purpose of this third set of questions is to make the customer eager for a solution to the problem(s) they've just identified.

Smart, implication questions will make the customer identify (for themselves) the effect, consequences and impact of that problem going unchecked. In short, in order to encourage a prospect to consider your solution in any seriousness, they need to have a firm grasp on how serious the problem is.

Examples:

  • If leads don't get inputted onto your CRM system, what's the impact on your sales outlook?
  • If training on your CRM is costly and time-consuming, what does that mean for new reps when they start?
  • If you can't accurately see your performance to date, how much response time do you have to implement a fix if you anticipate your sales are falling short of target?

#4: Need-payoff Questions

The final stage of SPIN Selling, is to encourage a prospect to consider how valuable a solution to the problem they've identified, would be. The secret to getting results with need-payoff questions is to ensure the buyer specifies the benefits themselves. So encourage them to visualise and imagine what would be different with that problem gone. That way, your customer will be able to place a value on what you have to offer.

The beauty of these questions is that if you get them right, your customer will tell you how your product will help.

Need-payoff questions need to evoke positive emotions. After all, it feels good to know that a pressing problem can finally be solved. In addition, aim to reduce objections to an eventual purchase, as well as encouraging the customer to start to think about committing to the solution you have on offer.

Examples:

  • Why is being able to have a big picture overview of your sales pipeline important to you?
  • If you could cut the amount of time spent training new staff on your CRM, what impact would that have?
  • If you could see at a glance which opportunities you have in your pipeline, how would that help you achieve your sales targets?

Suggestions as to How You Can Apply These Insights to Your Sales Techniques

[HM:258274] Do You Have a Manager’s Mindset?

Julie Long, a senior developer at a software company, was identified by her manager as a high performer. When she was asked to coordinate a team of three junior developers on a project, Julie was excited about the opportunity to finally move into a management role.
 
However she quickly became frustrated. Things that were simple and easy for her were not getting done in a timely way by her team. After just a few weeks in her new role, as she reviewed the code her team members had written, she found herself seriously considering scrapping their contributions and writing it all herself. She knew that if she worked a few extra hours, she could likely match the output of all three of her direct reports.
 
This scenario is all too common when an individual is asked to make the leap from expert to manager. It's especially common when someone is asked to lead a team of their recent peers. But jumping into the weeds and trying to do everything, even if it works initially, is not a sustainable strategy. Ultimately a manager needs to focus on becoming a successful teacher and mentor in order to help their people develop and grow, and to increase the overall capacity of the team.
 
But this requires a dramatic change in mindset, and it's this process that is so difficult for many of the recently promoted. Because coaching and coordinating others is not how you spent your days as an individual contributor, it can be hard to discard old habits. Start by tracking the improvement of your direct reports from where they are rather than comparing their output and capabilities to your own. If you assess people individually, their talents will emerge—and their progress will become a measure of your own success.
Here are some other things to keep in mind as you work on shifting your mind-set. Some of these suggestions may seem obvious, but the fundamentals have a way of flying out the window when new responsibilities pile up and the pressure's on
 
Take the Long View
While individual contributors keep their heads down and focus on getting work done, managers needs to be looking further ahead. Good managers spend much of their time anticipating challenges, negotiating political situations, and creating a road map that pulls together what each team member is working on independently. You also need to think beyond what will happen in the ideal scenario and plan for contingencies.
Seeing the bigger picture involves doing two things well.

First, you should have a solid understanding of the needs and goals of your department, as well as the entire organization. This clarity about the ecosystem in which your team operates will help you anticipate your manager's expectations. Second, you need to understand the capabilities of the individuals on your team. Recognizing your team's capacity will give you the ability to better forecast when your team will be stretched or when it will experience bottlenecks, and to set expectations accordingly.

Ask More Questions

When one of your team members is struggling, it can be tempting to just hand out answers (or do the work yourself, like Julie). After all, you probably know what needs to be done, and quickly providing the solution will get you back to your own work faster. But if you get into the habit of being the answer dispenser, you don't give people the chance to figure it out for themselves.

n be a great way to help a team member work through a problem. Have them describe what's frustrating – put it up on a whiteboard if you can – and then talk through all the angles. In many cases a solution will become obvious just through the act of describing the problem. But if it doesn't, your questions can be instrumental in helping your employee look at the obstacle in a new way or uncover alternative possibilities.

Focus on What and When

As an individual contributor, you were rewarded for perfecting the "how" of getting your work done. You might have great ideas about what makes you more productive and allows you to do your best work. But what works for you might not work for others, and further, others might come up with new ideas or techniques that you haven't considered. It's always best when setting goals with your team to focus on what the deliverables are, and when they need to be complete, but to leave the details of how that gets done up to each person.
The exception, of course, is when someone asks for help, or if you observe a team member struggling. At that point you can look at how they are going about the task. But even in these cases you should approach the situation with an open mind, and not simply dictate what should be done.
Another reason to focus on the goals and not the process is to avoid micromanaging. No one enjoys having their manager hang over their shoulder and tell them how to do their job. It's a quick way to frustrate your team, and it won't make the work go any faster.

Trust Your Gut

Stepping into a new role can throw you off balance. You are working hard to learn new ways of thinking and behaving and it can make you feel like you're wrong a lot of the time. But your instincts are still valuable. If you feel like a project is going off the rails, don't wait until it's too late to respond. You may be figuring out how to be a good leader, but your sense of whether the work is being done and done right is likely on target—especially if it's work that you've done yourself in the past.
Many new managers delay confronting a team member who is missing deadlines or struggling in some way because they doubt their instincts or aren't sure how to address the problem productively. But rather than waiting until the situation grows worse, sit down and have a conversation. Make sure you're aware of how people are doing, and check in with them regularly. When you feel like something is off, it probably is.

Be Patient

Shifting your mind-set from the day-to-day responsibilities of an individual contributor to the broader view of a manager and leader takes time. Don't expect these skills to evolve overnight, and don't be discouraged if you have some setbacks as you try to strike a balance between getting things done and coaching your team. Most of us aren't natural-born managers. The mind-set of a manager can be learned and honed with practice.
When times get tough (as they're bound to do) or you're feeling overwhelmed by your new role, pause and ask yourself:
  1. Am I seeing my direct reports' strengths and weaknesses clearly, or comparing them to mine?
  2. Am I taking the long view, anticipating capabilities, challenges, and expectations?
  3. Am I asking questions more often than dispensing answers?
  4. Am I setting clear deadlines and deliverables, but leaving the "how" up to my team?
  5. Am I second-guessing my instincts? (Don't.)
  6. Am I being patient with my own development as a manager?

A home that pulses with positive energy is a joy to live in. But what are the tricks to designing a space that attracts good vibes and repels negativity? Here are some easy and simple steps you can take that accentuate the positive at home.

Rooms that have flow, natural light and space are more likely to buzz with positive energy. If your home is cluttered, edit some of the stuff you don't need from your life. This goes for furnishings as well as clothing and other possessions – if you haven't used it in a year, do you really need to keep it? Rooms overflowing with furniture stifle positivity, so select your favorite essentials, then donate the rest to a good cause. Removing clutter is one of the chief principles of the ancient art of feng shui. Discarding excess material possessions and clutter is believed to allow positive energy to circulate more freely about the home, encouraging peace and serenity within.

 

Happy colors

 

Mood and ambience is hugely influenced by the colors we choose in our home décor. Dark, heavily pigmented paint shades suck the light from a room, shrinking the dimensions and giving a somber mood. To invite positive influences, choose colors that reflect the light, warm shades that lift the atmosphere and reference the natural world. [HM:258268] Technology: What is Virtual Private Network



A virtual private network (VPN) is a technology that creates an encrypted connection over a less secure network. The benefit of using a VPN is that it ensures the appropriate level of security to the connected systems when the underlying network infrastructure alone cannot provide it. The justification for using a VPN instead of a private network usually boils down to cost and feasibility: It is either not feasible to have a private network (e.g., for a traveling sales rep) or it is too costly to do so. The most common types of VPNs are remote-access VPNs and site-to-site VPNs. 

A remote-access VPN uses a public telecommunication infrastructure like the Internet to provide remote users secure access to their organization's network. A VPN client on the remote user's computer or mobile device connects to a VPN gateway on the organization's network, which typically requires the device to authenticate its identity, then creates a network link back to the device that allows it to reach internal network resources (e.g., file servers, printers, intranets) as though it was on that network locally. A remote-access VPN usually relies on either IPsec or SSL to secure the connection, although SSL VPNs are often focused on supplying secure access to a single application rather than to the whole internal network. Some VPNs provide Layer 2 access to the target network; these require a tunneling protocol like PPTP or L2TP running across the base IPsec connection. 

A site-to-site VPN uses a gateway device to connect the entire network in one location to the network in another, usually a small branch connecting to a data center. End-node devices in the remote location do not need VPN clients because the gateway handles the connection. Most site-to-site VPNs connecting over the Internet use IPsec. It is also common to use carrier MPLS clouds rather than the public Internet as the transport for site VPNs. Here, too, it is possible to have either Layer 3 connectivity (MPLS IP VPN) or Layer 2 (Virtual Private LAN Service, or VPLS) running across the base transport.

VPNs can also be defined between specific computers, typically servers in separate data centers, when security requirements for their exchanges exceed what the enterprise network can deliver. Increasingly, enterprises also use VPNs in either remote-access mode or site-to-site mode to connect (or connect to) resources in a public infrastructure as a service environment. Newer hybrid-access scenarios put the VPN gateway itself in the cloud, with a secure link from the cloud service provider into the internal network.
