In this tutorial, I am sharing my top 20 Excel Keyboard shortcuts that can help you speed up your work and save a lot of time.

How to use interpret keyboard shortcuts: CONTROL + T would mean press the Control key and then press the T key. CONTROL T would mean hold the Control key and press the T key.

#1 Auto Sum

If you have numbers in a column/row, you can quickly get the sum by using this Excel keyboard shortcut.

#2 Paste as Values

When you copy and paste a cell or a range of cells, it also copies the value, the formula in it, and the formatting. If you only want to copy the values, use the following keyboard shortcut.

#3 Fill Down

This one would help you while entering data in Excel. Use it to copy the cell right above the active cell. Note that this would copy the contents, formulas and formatting as well.

#4 Select Entire Row/Column

You use the following shortcuts to select an entire row or column that contains the active cell.

To select the entire row:

For example, if cell B2 is selected, then Shift + Spacebar would select the second row and Control + Spacebar would select the second column.

#5 Delete Cells/Row/Column

To delete selected cells, rows, or columns, use the keyboard shortcut:

This opens the Delete dialog box, where you can select from the following options:

  • Shift cells left.
  • Shift cells up.
  • Delete Entire Row.
  • Delete Entire Column.

#6 Applying Border

To quickly apply borders to the selected cells, use the keyboard shortcut:

Note that this applies the "All Border" format, which means that all the cells get the border format. If you want to apply the Outline border only use ALT + H + B + S.

#7 Inserting a Comment

If your work involves inserting a lot of comments in cells in Excel, you'll find this shortcut mighty useful.

To quickly insert a comment in a cell, use the keyboard shortcut:

SHIFT F2

This would insert the comment and place the cursor within the comment.

When you have entered the comment, press the Escape key to come out of the comment mode. The cell that contains the comment would show a red triangle at the top right.

If you already have a comment in a cell, this would open the comment and place the cursor within the comment.

#8 Insert Current Date and Time

This keyboard shortcut can be used to quickly insert time stamps in cells.

To insert current date, use the keyboard shortcut:

#9 Navigate Through Worksheets

If you have a lot of worksheets in the workbook, it can drive you crazy to navigate through it.

Here is the keyboard shortcut that solves this problem.

To go to the previous worksheet:

Note that if you continue to hold the keys, it will keep on moving on to the previous/next worksheet.

#10 Apply Filter

While you can easily apply/remove filter with the filter Filter option in the ribbon (in the data tab), it still takes time and a couple of clicks.

Here is a keyboard shortcut that would instantly apply data filter (or remove filters if it's already applied):

#11 Select Visible Cells Only

Let me first tell you why this is important.

Suppose you have a list in Excel and you hide a few rows. Now if you copy the entire list and paste it somewhere else, it will copy all the cells (including the ones that are hidden, as shown below):

Note that a few rows in the original data set are hidden, but when you copy paste it, even the hidden rows get copied.

If you don't want this to happen, you first need to select only those cells that are visible. To do this, select the entire list and use the keyboard shortcut:

Now when you copy it and paste it anywhere, you can be sure only the visible cells are getting copied.

#12 Freeze Top Row

If you work with a data set that is huge and spans across hundreds or thousands of rows and many columns, you'll face the issue of the header disappearing when you scroll down. This often wastes a lot of time as you have to scroll back to see what a data point means.

Freezing rows and columns is the way to go in such cases.

Here are the shortcuts for freezing rows/columns:

  • To freeze the top row:
    ALT + W + F + R

  • To freeze the first column:
    ALT + W + F + C
    Excel Keyboard Shortcuts 12bNote that the left most column gets fixed.

If you want freeze both rows and column, select a cell above which you want to freeze rows (you can freeze more than one row), and to the left of which you want to freeze columns (could be one or more than one). For example, if you want to freeze top two rows and one column to the left, select cell B3.

#13 Opening Format Cells Dialogue Box

This one is my favorite. If you want to change the formatting of a cell or range of cells, select the cells and use the keyboard shortcut:

It's a gateway to all the formatting you can do this Excel. It opens a dialog box where you have different tabs for different types of formatting.

#14 Start New Line in the Same Cell

Sometimes, you may want to show the text/data in two or more than two rows in the same cell in Excel. For example, you may want to enter the address in a cell, but want the house numbers, street, city, state in different lines in the same cell.

To do this, place the cursor where you want to insert the line and use the keyboard shortcut:

#15 Switch to Next Workbook

If you're working with multiple workbooks, you may need to switch between these workbooks. A popular shortcut to do this is ALT + TAB

But this would cycle through all the open applications. For example, if you have multiple application open at the same time, such as a browser, powerpoint, word, excel, skype, vlc, and so on, ALT + TAB would cycle through all these applications.

Instead, activate a workbook and then use the following shortcut to switch between open workbooks only.

#16 Insert Hyperlink

To insert a hyperlink in a cell, you need to open the Insert Hyperlink dialog box. The keyboard shortcut for this is:

#17 Insert Bullet

If you want to insert bullets in Excel (in case you are creating a list), you can do that quickly by using a keyboard shortcut.

If you have a numeric keypad in your keyboard:

  • Select the cell in which you want to insert the bullet.
  • Either double click on the cell or press F2 – to get into edit mode.
  • Hold the ALT key, Press 7 or 9, leave the ALT key.
  • As soon as you leave the ALT key, a bullet would appear.

If you do not have a numeric Keyboard (like my laptop), activate the NumLock first and then repeat the above steps (or try with ALT + FUNCTION + 7/9)

#18 Converting Tabular Data into Excel Table

Excel Table is a must use feature if you work with tabular data.

To quickly convert tabular data into an Excel Table, select the data (or select any cell in the data set) and use the keyboard shortcut:

This will open the Create Table dialog box. While it automatically picks the range that needs to be converted, and it most cases it is correct, it's a good practice to cross check this.

Click on OK (or press Enter).

#19 Spell Check

While most of the people work with data in Excel, if your work involves a bit of text as well, it's a good practice to run spell check before marking the work as final and sending across to your boss or client.

Unlike MS Word or PowerPoint, Excel would not show red lines below the words that are misspelled. However, if you run spell check, it will catch those errors.

To run spell check, simply hit the F7 key.

Working with VBA requires one to switch between the worksheet and the VB Editor.

To make a switch from Excel workbook to VB Editor, use the keyboard shortcut:

How to Become More Compassionate

Compassion brings both short and long-term happiness. Showing compassion not only allows you to feel better, but it helps those around you to feel better, too. Since we all want to be happy, showing compassion can be a common goal for everyone.

Cultivating compassion is a worthwhile goal. It's a significant part of being human and can make you more grateful for the many good things you already have in your life.

How can we be more compassionate?

1. Have good intentions. Each day, simply have the intention of being compassionate and showing compassion to everyone you encounter. Make it a part of your morning ritual to remind yourself to be compassionate.

  • Before you go to sleep at night, reflect on how you were compassionate or failed to show compassion that day. Remind yourself again to be compassionate the next day.

2. Focus on the similarities you share with others. Human brains are great at spotting differences. However, we have to make a conscious effort to spot the similarities.

  • When you find yourself feeling less than happy with someone, try to list as many things as you can that you share in common.
  • Remember that all humans are similar in the ways that matter. For example, we all need love, attention, happiness, affection, food, and shelter.

3. Be empathetic. With everything happening in our lives, it's easy to focus on ourselves and ignore the plight of others. Consider the similarities that others share with your loved ones. Now imagine your loved one is suffering.

  • If you can see another person as being similar to your loved one, it will become easy to be sensitive to their suffering.
  • Keep in mind that another person is someone else's loved one.
  • How would you want your loved one to be treated during a challenging time?

4. Be compassionate with yourself. You might have noticed that the least compassionate people are those that are the hardest on themselves. If you won't give yourself a break when you need it, you're less likely to do it for someone else.

  • Appreciate yourself and the challenges that you've experienced in your own life. You'll become more capable of doing the same for others, too.
  • Recognize that time you spend on yourself is time well spent. Refrain from viewing it as an act of selfishness. You're just as important as anyone else.
  • Let go of needing to be perfect. Nobody's perfect, so it's a game that can't be won. If you'll stop demanding perfection of yourself, you'll stop requiring others to be perfect, too.

5. Be fully present with others. The ultimate kindness is to be 100% present with someone. It's also a great time to practice being mindful. Be supportive and a good listener without thinking any stray thoughts.

  • It's not always easy to stay in the moment when someone is hurting, but you'll be a better person for it.

6. Remember the times that others have been kind to you. Perhaps you can do the same favor for someone else.

7. Remember the times that others have been unkind to you. Perhaps you can spare someone else from feeling the same pain.

Being compassionate is really a gift you give to yourself. When you're kinder to others, you learn to be kinder to yourself. You also encourage others to take an interest in your life and to direct compassion back in your direction.

This is more or less part of our DNAs that we react to situations instantly without giving a second thought. At times, this is perfectly a normal phenomenon and the impact of our reactions is acceptable as long as it based on positive and realistic judgement. However, it is usually seen, that our reactions slash someone's emotions or causing psychological disturbance, especially if the person is sensitive. Here are some situations:


 
1.      The Taxi drive might be an MBA. Don't underestimate his education level. He might have a reason to drive taxi.
2.      The boy who mistakenly hit you in crowd might have leg surgery a week back. Don't misjudge his character.
3.      The senior you made fun of because of the scars on his face might have fought for the country. Don't feel irritated because of his outlook.
4.      The boy you made fun of because of crying, his mother might have died. Don't think that a male cannot cry.
5.      The person who was issued a police ticket for parking in disabled parking area might actually have a disabled son/daughter. Don't conclude things quickly.
6.      A not-so-tall person might have much higher ethics. Don't conclude things based on physical outlook.
7.      A poor man may have cleaner heart than you. Don't have a discriminated feelings as he may be more closer to the Lord because of his deeds.
8.      The rich person might have earned his wealth without any corruption. Don't put bad labels on successful people without knowing them very closely.
9.      A rude person in market may have lost his car in an accident. Don't react based on an instant observation. Find out the real story or stay calm.
10.   The fat person might be starving today. Don't Laugh on his obesity. Probably he is obese because of his genetics.
 

 
 
Good and bad reactions create strong ripples. Whatever you say or do is observed, absorbed and repeated by the people around you which in turns gets expanded in the society. Be mindful on what you say to others or what you share on social media or what you do in public. Each of your action is transforming the society in a good or bad way. So don't be judgmental and don't be reactive; it is not what we say, it is how we say.

[HM:258444] Engaging With Social Media Can Drain Your Brain

The retweet is a major social currency of our time. Even if we generally aren't reading the stuff we're retweeting, it seems harmless enough to share whatever grabs a sliver of our interest.

But then again, maybe it's not so harmless. So argues a new study (link is external) by a research team from Cornell University and Beijing University. The researchers wondered if retweeting and otherwise sharing information online steals away mental resources that could aid in comprehending, recalling, and maybe even beneficially using the content.

Think of it as a reposting tax on your brain.

To test the theory, the researchers presented two groups of students with messages from Weibo, the Chinese equivalent of Twitter. After reading each message, one group had the option of either reposting it or going on to the next message. The other group wasn't able to repost and could only move on to the next message. Both groups were then given a test on how well they comprehended and recalled the content of the messages.

People in the repost group had twice as many wrong answers as the non-repost group and significantly worse comprehension of the content. The comprehension results were especially bad for the messages they reposted even if they could remember the topics.

In a follow-up experiment, two groups were again presented with Weibo messages and the same repost or no-repost conditions. Then both groups read an unrelated article from a science magazine and took a test on its content. The group that reposted messages performed significantly worse on the comprehension test than the read-only group.

So what's happening that would lead the reposters to perform worse than non-reposters in both experiments? The researchers think it comes down to "cognitive overload"—it's not the content but the decision to share it or not that drains mental resources.

"The sharing leads to cognitive overload, and that interferes with the subsequent task," said Qi Wang, professor of human development in the College of Human Ecology at Cornell University.

The additional mental drain might be small in each "to share or not to share" case, but cumulatively it's not so small. Consider how many times in any given day (or in any given hour of any day) we make these choices. That little tax adds up, and the new research suggests that it takes a toll on anything else we need our cognitive faculties to accomplish.

"In real life when students are surfing online and exchanging information and right after that they go to take a test, they may perform worse," added Wang.

I'm not sure if this result amounts to an endorsement for mindlessly sharing stuff (which presumably requires less thought), but it's interesting to consider how even tiny brain drains add up and draw away juice from other things. Something to think about —after you retweet this post.​

Newly developed sensors made of metal oxide nanofibers are a cheap and non-invasive alternative to traditional diagnostic techniques.

Scientists at the Korea Advanced Institute of Science and Technology (KAIST) are developing biosensors that can sniff out certain molecular signatures, a useful tool for medical diagnosis. Professor Il-Doo Kim, of the Department of Materials Science and Engineering at KAIST, has led the research, which may enable such technology to work with smartphones, smartwatches, and other commonly available devices.

The idea is to use small semiconductors made of metal oxide nanofibers as sensor arrays; these devices are designed for maximum "gas adsorption," which allows them to analyze "volatile organic compounds" (VOCs) exhaled in human breath. Detecting these chemical signatures will mean early diagnosis of certain diseases, a potentially life-saving advantage.

The sensor arrays register, for instance, the presence in VOCs of acetone, H2S, ammonia, and toluene, which would indicate the presence of diabetes, halitosis, kidney malfunction, and lung cancer.

Honestly, anyone whose breath smells like acetone, hydrogen sulfide, or ammonia should already be sending up some red flags; but the point is, the ultrasenstitive technology can detect even trace biomarkers.

And by analyzing gases that originate at the blood-lung tissue barrier, the technology provides an important window onto the health of a patient, and can be extended to sense a wide variety of diseases.
